Privacy Policy

About this policy

Last updated: 25th October, 2026

StairBiz Software ("StairBiz", "we", "us") is committed to protecting your privacy. This policy explains what personal information we collect, how we use and share it, and what you can do if you have a question or concern. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

This policy covers personal information about:

  • you as a potential customer, when you enquire about StairBiz

  • you and your team as StairBiz customers and users

  • visitors to our website

It also explains how we handle information about your own clients and projects that you store in the StairBiz software (see Information you store in StairBiz).

What information we collect

If you enquire about StairBiz, we may collect:

  • your name and business name

  • business address

  • phone number

  • email address

  • any details you include in your enquiry

If you become a customer, we may also collect:

  • the name, phone number and work email address of each user in your business

  • login details for your StairBiz accounts (passwords are stored in encrypted form and cannot be viewed by our staff)

  • licence, subscription and billing records, such as your plan, renewal dates and payment history

  • records of support requests, training sessions and correspondence with us

When you visit our website, we may collect technical information such as your IP address, browser type, pages visited and how you arrived at the site (see Cookies and analytics).

Payment details. Card payments are processed by our payment provider, eWay. We do not see or store your full card number. If you ask us to set up a recurring payment by phone, we enter your bank details directly into eWay's secure portal and do not keep a copy.

How we collect it

We collect most information directly from you, when you:

  • fill in a form or send an enquiry through our website

  • contact us by email or phone

  • register as a StairBiz user or log in to the Members Area

  • take part in training or contact StairBiz Support

We also collect some information automatically when you use our website, through cookies and similar technology. Occasionally we may take your business address or contact details from your public website or business listing.

How we use it

We use your information to:

  • respond to your enquiries

  • set up and manage your StairBiz accounts, users and licences

  • process payments and manage subscriptions and renewals

  • provide support, training and software updates

  • send you service emails about your use of StairBiz, such as upgrade, billing and account notices

  • improve our software, website and services

  • meet our legal and tax obligations

Marketing emails. We only send marketing emails if you have agreed to receive them. Every marketing email includes an unsubscribe link. Service emails about your account are not marketing, so you will still receive these while you are a customer.

Automated decisions. If a subscription payment fails, our billing system may automatically suspend or restrict your StairBiz licence. This uses your account and payment status. You can contact us to have any such decision reviewed by a person.

Who we share it with

We do not sell your personal information. We share it only where needed to run our business and provide our services, with:

  • Service providers who help us operate, such as cloud hosting (such as Microsoft Azure), our website platform (Squarespace), payment processing (eWay), third-party email platforms, customer relationship management (CRM) and other business software, and analytics and advertising providers (such as Google and Meta). They may only use your information to provide services to us.

  • Independent sales and support agents, in the rare cases where you deal with us through one. You should also read that agent's privacy policy.

  • Our professional advisers, such as accountants and lawyers, where needed.

  • Government bodies or others, where we are required or authorised by law.

Overseas disclosure. Some of our service providers store or process information outside Australia. Your information is likely to be held in or accessed from the United States, and may also be held in other countries where our providers operate. We take reasonable steps to make sure these providers protect your information in line with Australian privacy standards.

How we store and protect it

We store your information with enterprise-grade cloud providers, currently Microsoft Azure. The Members Area is hosted on our own stair.biz server. We follow industry best practice when storing and transferring data, including encrypting data held in our cloud databases and limiting staff access to what they need for their role.

We keep your information only as long as we need it for the purposes in this policy, or as required by law (for example, tax records). When it is no longer needed, we delete or de-identify it.

If a data breach is likely to cause you serious harm, we will notify you and, where required, the Office of the Australian Information Commissioner (OAIC).

Information you store in StairBiz

When you use StairBiz, you may store information about your own clients, such as names, addresses and project details in quotes and jobs. That information belongs to your business, and you are responsible for collecting and using it in line with privacy law.

We store and secure it on your behalf. We only access it to provide the service, for example when you ask StairBiz Support to help with an issue. We do not use it for our own purposes or share it with anyone else, except as required by law.

Accessing and correcting your information

You can ask us to:

  • give you a copy of the personal information we hold about you

  • correct information you believe is inaccurate, out of date or incomplete

  • delete information we no longer need for our business relationship

To make a request, contact us using the details at the end of this policy. We may need to confirm your identity first. We will respond within a reasonable time, usually 30 days. If we can't fulfil a request (for example, because the law requires us to keep certain records), we will tell you why.

Making a complaint

If you think we have mishandled your personal information, please contact us in writing using the details below. Tell us what happened and how you would like it resolved.

We will acknowledge your complaint within 7 days and aim to respond in full within 30 days.

Cookies and analytics

Cookies are small text files placed on your device when you visit a website. Our website runs on Squarespace, which uses cookies to:

  • keep the site working and secure, and remember your preferences

  • keep you signed in to the Members Area

  • show us how visitors use the site, such as which pages are viewed, so we can improve it

We also use Google Analytics and the Meta Pixel to understand website traffic and measure our advertising. Google and Meta may collect information about your visit, such as your device, location and the pages you view, and may process it overseas. You can opt out of Google Analytics with Google's opt-out browser add-on, and manage how Meta uses this information in your Meta account's ad settings.

You can set your browser to block or delete cookies. Some parts of the website, including the Members Area, may not work properly without them. For more information, visit allaboutcookies.org.
